Jublia has updated its Privacy Policy effective 05 December 2025.

1. Introduction

Jublia Pte Ltd. ("Jublia", "We", "Us", "Our") provides a comprehensive Event Engagement Hub (the "Solution") designed to enhance business-to-business events. The Solution includes, but is not limited to:

  • Business Matching: An end-to-end business matching and networking solution.
  • Agenda Management: A Content Management System (CMS) for scheduling and session bookmarking.
  • Lead Retrieval: Tools for lead scanning and contact exchange.
  • Interactive Maps: Wayfinding and floorplan navigation.
  • Concierge Support: Personalized support provided by the Jublia Customer Success team.
  • Event App: A fully branded mobile or web application.

Jublia respects the privacy rights of its users and is dedicated to protecting all personal information submitted to and collected by Jublia through the Solution. Under this Policy, Jublia acts as the 'Data Processor' for the Event Organizer (the 'Data Controller') in accordance with data protection laws (such as GDPR). We encourage you to also review the Event Organizer's privacy policy, as it governs the overall use of your data.

By using and accessing Jublia's Solution you signify your assent to our Privacy Policy. If you do not agree to this Privacy Policy, please do not use the Solution. We reserve the right to make changes to this Privacy Policy. If we make a material change to this Privacy Policy, we will notify you and, if necessary, give you additional choices regarding such change. Your continued use of the Solution will signify your acceptance of these changes.

2. Information We Collect

‍To provide the Event Engagement Hub features, we collect and process the following categories of data:

2.1. Registration & Profile Data: Information provided during registration or synced from the Event Organizer, including contact details, name, professional title, company, industry, and profiling answers required for the best function of the Solution.

2.2. Engagement & Behavioural Data: We track your actions on the Solution (such as profiles viewed, sessions bookmarked, and meetings requested) to enhance your profile recommendations and event experience.

2.3. Lead Scanning Data: When you use the Leads Scanning feature to scan a badge (QR code) or have your badge scanned by another user (e.g., an Exhibitor), you explicitly consent to the exchange of your registered contact details with that user.

2.4. Concierge & Support Data: When you interact with the Jublia Concierge Support team (via chat, email, or in-app), we collect the content of those communications to resolve technical issues, facilitate meetings on your behalf, or provide event guidance.

2.5. Enrichment Data: To improve business matching relevance, we may enrich your profile with publicly available professional information (e.g., from professional networking sites or company websites) through the usage of search engines or third-party public Large Language Models (LLMs). You have the right to correct this data at any time.

2.6 Information collected automatically:
2.6.1. Cookies:
We use cookies to operate our Solution. A "cookie" is a small bit of record-keeping information that sites store on a user's device. We use cookies to identify your session, keep you logged in, and remember your preferences. You can disable cookies in your browser settings, although this may affect your ability to fully utilize the Solution.

2.6.2. IP Addresses:
We automatically collect IP addresses and device identifiers for security purposes (such as DDoS protection), analytics, and to maintain the integrity of the Solution.

2.6.3. Usage Logs:
We passively collect server logs that record service activity, including page views and navigational data. This data is used to gather statistics about browsing habits, assess service activity, and maintain security. Log files are generally used internally and may be combined with other data to aggregate behavior patterns.

3. Artificial Intelligence (AI) & Automated Processing

Our Solution utilizes AI, Machine Learning and Deep Learning through Neural Networks to enhance your event experience. We are committed to the responsible use of AI.

3.1. Recommendation Engine: We use algorithms to analyze your profile, agenda interests, and map interactions to recommend:

  • Relevant business connections through Business Matching.
  • Conference sessions and content topics.
  • Exhibitors or booths of interest.
  • Note: This processing is based on our legitimate interest in helping you find value at the event. You are not restricted solely to AI recommendations and can search manually at any time.

3.2. AI Maps: We automatically detect and tag points of interest on the Interactive Maps to exhibitors and agenda session locations.

3.3. Generative AI Features: The Solution employs Generative AI to assist with, but not limited to interacting with the Solution’s prompt bar, summarizing information, or generating content on-demand.

3.3.1. Human Review Required: You acknowledge that AI is probabilistic and may generate "hallucinations" or inaccurate information. AI outputs are suggestions only and should be reviewed by a human before being relied upon or sent. Jublia is not liable for errors or omissions in AI-generated content.

3.3.2. Input Data: When you use these features, the text you input is sent to our AI providers solely to generate the response.

3.4. No Training on Private Data: Jublia does not use your contact details, private messages, confidential notes, or non-public personal information to train LLMs. Your data remains isolated to the event environment.

4. How We Use the Information

We do not rent, lease, loan, sell, voluntarily distribute or redistribute its users' personal information to any unaffiliated third parties. We will only collect the information deemed reasonably necessary to fulfill the following purposes:

4.1. Operation of the Event Engagement Hub:

  • To create and manage your event itinerary.
  • To facilitate lead retrieval and allow you to export scanned contacts.
  • To provide interactive wayfinding on the show floor.

4.2. Concierge Services: To allow our human Customer Success team to act as your "digital concierge," assisting you in booking meetings, managing your schedule, or troubleshooting technical issues.

4.3. Analytics & Reporting: We provide the Event Organizer (the Client) with insights regarding engagement trends at the event and access to individual data of a specific user or company through the CRM. You will also get Performance Insights as per your and/or your company’s performance at the event.

5. Sharing and Disclosure of Information

5.1. Sharing with the Event Organizer: As the Data Controller, the Event Organizer has full access to your registration data, profile updates, and engagement metrics.

5.2. User-to-User Sharing (Lead Retrieval): If you allow another user (e.g. an Exhibitor) to scan your badge using the Solution's Lead Scanning tool, Jublia will transfer your registered contact information directly to that user. Once transferred, your data is subject to that user’s own privacy policy and is no longer under Jublia’s control.. If you are part of a company, your own scanned leads and meetings will also be made available for your booth admin, pre-set by the Event Organizer, to download.

5.3. Service Providers: We share data with trusted third-party sub-processors (e.g., cloud hosting, email delivery) strictly for the purpose of maintaining the Solution’s infrastructure and communications capabilities.

5.4. Legal & Safety: We may disclose information if required by law or to protect the safety of our users and the Solution, including but not limited to disclosure to law enforcement in connection with an investigation of fraud, intellectual property infringements, or other illegal activity.

5.5. Business Transfers: Notwithstanding any other terms of this Privacy Policy, we may disclose personal information in the good faith belief that we are required to do so by law. In the event of a merger, acquisition, reorganization, bankruptcy, or other similar event, customer information may be transferred to Jublia's successor or assign, if permitted by and done in accordance with applicable law.

6. International Data Transfers

Jublia is headquartered in Singapore. While data is stored primarily in Singapore (or the region designated by the Organizer), it may be processed globally via our cloud infrastructure (e.g. Content Distribution Network) and sub-processors. We utilize Standard Contractual Clauses (SCCs) and appropriate security measures to ensure your data is protected during cross-border transfers in compliance with GDPR and other data protection laws.

7. Security

We employ enterprise-grade security measures, including encryption at rest, to protect your data. However, no internet-based service is 100% secure. You are responsible for maintaining the secrecy of your login credentials.

8. Data Retention

Unless otherwise requested by the Event Organizer, Jublia retains Personal Information for 3 months post-event to allow for follow-ups and data export (e.g., downloading your leads). After this period, contacts data is deleted and other Personally Identifiable Information (PII) is permanently anonymized for historical analytics.

9. Your Rights

You have the right to access, correct, delete, or restrict the processing of your data. To exercise these rights: Please contact the Event Organizer (the Data Controller) directly. As the Processor, Jublia will assist the Organizer in fulfilling these requests.

Direct Inquiries: If you are unable to reach the Organizer, you may contact Jublia, and we will route your request to the appropriate party.
